PUBLIC LIBRARY BOARD MEETING
HELD AT THE WAUBAUSHENE PUBLIC LIBRARY
THURSDAY SEPTEMBER 20, 2007
7:00 P.M.

1. CALL TO ORDER:
The meeting was called to order at 7:00 p.m.

2. ADOPTION OF MINUTES:

THAT THE MINUTES OF THE REGULAR MEETING DATED AUGUST 16TH, 2007 BE ADOPTED AS CIRCULATED.
CARRIED.

3. BUSINESS ARISING FROM THE MINUTES:
Michele Gouett requested that the item discussed during the in camera session of August 16th, 2007, be included on the October Library Board Agenda for further discussions.

4. ACCOUNTS:
MOVED BY: SANDY TALBOT MOTION NO. 2007-64
SECONDED BY: AXEL FRANDSEN
THAT THE AUGUST ACCOUNTS, AS PRESENTED AND ATTACHED, IN THE AMOUNT OF $8,636.70 BE ACCEPTED.
CARRIED.

Upon review of the accounts Axel Frandsen questioned the 50% deposit for new windows and the anticipated completion of same. Heather Walker spoke to the matter.
Michelle Gouett questioned the amount of book purchases. Heather Walker responded to same.

5. BRANCH REPORTS:
5. a Port McNicoll
We received for information the August report prepared by Heather Walker and Heather Delong of the J & M Young Public Library.
Items of discussion included the impact of the Summer Reading Club, the positive perception of the Summer Theatre Group and upcoming events.
5. b Victoria Harbour
We received for information the August report prepared by Carol Vanderhart of the Victoria Harbour Library.
Items of discussion included the Summer Reading Program, catalogue training and the volunteer group as it relates to fundraising projects for the library expansion.
5. c Waubaushene
We received for information the August report of prepared by Janice Waddell of the Waubaushene Library.
Items of discussion included the Summer Reading Club, book displays, computer stats, cancellation of the volunteer group BBQ due to weather conditions and the maintenance jobs carried out.
5.d Summer Reading Club
We received for information an end of summer report prepared by summer students Caitlin and Gary. The Chair reviewed the total participants and it was agreed that the program was well received.

6. STATISTICS:
We reviewed the August statistics focusing on the circulation numbers and the number of computer users.

7. VOLUNTEER MEET AND GREET:
At this point in the meeting the Chair called on the volunteers for introductions and a round-the-table discussion ensued.
Each volunteer provided the board with a brief explanation as to their volunteer efforts and outlined the variety of programs offered at the individual branches such as; silent auctions, art classes, the good food box, altered books and anticipated fundraisers for the Victoria Harbour Library expansion.
During the discussions it was noted that numerous organizations contribute supplies for crafts and it was recommended that thank you letters be forwarded recognizing their generosity. Staff was so directed.
It was noted that the volunteers play a vital role in the operations of the library and the community benefits immensely.
The Board thanked the volunteers for their continuous hard work and dedication and the Chair announced that as an appreciation coffee and tea will be served following the meeting.
(Volunteers in attendance were: Mary Johnson, Tara Walker, Natalie Walker, Diane Malott, Doris Nashman and Debbie Savage).

8. OTHER ITEMS OF BUSINESS:
There were no other items of business for discussion at this point.

9. CORRESPONDENCE FOR INFORMATION:
A brief review of the items listed as correspondence took place and it was agreed that same be received for information.
